All references to “Customer” refer to the company or individual that has purchased, subscribed to, or is testing the Service.
All references to “User”, “Authorized User”, “you”, or “your” refer to the individual who accesses or uses the Service, whether on their own behalf or on behalf of a Customer.
This Policy also applies to individuals who (i) visit our Website without using our Software, and (ii) receive marketing or promotional communications from us (“Marketing Recipients”).
By visiting or using our Website or Software, or by agreeing to receive communications from us as a Marketing Recipient, you consent to the practices described in this Policy.

The Software is a proprietary platform that enables Customers and Users to capture product workflows, generate structured help center articles, and publish updated content directly to supported integrations such as Intercom. Using the ScreenWrite Chrome extension, Users can record workflows through screenshots and annotations, which are then processed by ScreenWrite’s AI to create or update help center articles
When you create an account or otherwise use the Software, ScreenWrite collects certain information that can be used to identify you as an individual (“Personal Data”). This information includes your name, email address, authentication credentials, and basic information about your role and the Customer on whose behalf you are using the Service. ScreenWrite uses this information to create and maintain your account, to authenticate your access to the Service, to provide support, and to communicate administrative or operational information related to the Service.
ScreenWrite also collects Personal Data from individuals who request information about the Service or who subscribe to receive marketing or promotional communications. This information generally consists of a name and email address and is used solely to send communications related to ScreenWrite’s products, features, events, or updates. Individuals may opt out of receiving such communications at any time.
In the course of using the Software, you may choose to provide additional content or data. This includes screenshots captured through the ScreenWrite Chrome extension, annotations, text inputs, and help center materials submitted for processing. If you choose to enable integrations with third-party services, ScreenWrite may also receive information made available through those integrations. This information is used exclusively to provide the functionality of the Service, including the generation and updating of help center articles for the Customer. Certain features of the Software may be unavailable if such optional information is not provided.
When you access or use the Service, ScreenWrite automatically collects certain technical and usage information. This may include your device type, browser type, IP address, time zone, language settings, and information regarding your interactions with the Software. ScreenWrite collects this information to operate, secure, maintain, and improve the Service, to diagnose technical issues, and to understand how Users engage with the Service.
Because the Software captures screenshots of workflows at your direction, ScreenWrite may incidentally collect information displayed on your screen at the moment of capture. This may include product interface elements, internal tool views, or other on-screen content. ScreenWrite does not require or intend to collect sensitive personal information, and Users are encouraged to avoid capturing screens that display such information. Any information captured through screenshots is stored and protected in accordance with this Policy.
When you visit the Website or access the Software, ScreenWrite uses cookies and similar technologies to maintain session continuity, secure the Service, understand usage patterns, and improve performance. Third-party analytics providers may also set cookies in connection with their services. You may disable cookies through your browser settings; however, doing so may affect the functionality of the Service.
ScreenWrite does not track users across third-party websites or online services. As a result, the Service does not receive or respond to Do-Not-Track (“DNT”) signals or similar mechanisms. To the extent that any such signals are transmitted by your browser, ScreenWrite does not alter its data collection or use practices in response, as this is not part of the Service’s functionality.
ScreenWrite uses the Personal Data described in this Policy primarily to provide you with access to the Software and to deliver the core functionality of the Service, including capturing workflows, generating help center articles, and enabling integrations selected by the Customer.
ScreenWrite may also use Personal Data, as well as aggregated or anonymized information that does not identify any individual, to understand how Users engage with the Service, to maintain and improve the performance and security of the Software, and to develop new features or enhancements. ScreenWrite may contact you about new capabilities or improvements to the Service where permitted.
The legal bases for processing your Personal Data include:
ScreenWrite does not sell your Personal Data and does not share your Personal Data with advertisers. ScreenWrite only shares Personal Data when necessary to operate, maintain, and improve the Service or as otherwise permitted by this Policy.
The Service allows Users to capture, create, and publish help center content on behalf of the Customer. Any information you choose to share or transmit through the Service, including screenshots, article drafts, or annotations, will be available to the Customer and to other Authorized Users designated by the Customer.
If you use the Service on behalf of a Customer, that Customer may have access to the Personal Data you provide or generate while using the Service. ScreenWrite acts at the direction of the Customer with respect to such information. If you are an Individual Customer, this provision does not apply.
ScreenWrite’s use of information received from Google APIs complies with the Chrome Web Store User Data Policy, including the Limited Use requirements.
ScreenWrite may share Personal Data with employees, contractors, service providers, and vendors who require access to such information in order to operate, support, or improve the Service. These third parties provide services such as hosting, authentication, analytics, infrastructure, customer support tools, or AI processing necessary for the functionality of the Software. Where ScreenWrite uses third-party AI or processing providers, such providers do not use Customer data to train their models.
If you create an Account using an email address associated with a domain owned by your employer, ScreenWrite may inform your employer of your use of the Service in the event that ScreenWrite later offers the Service to that employer. In such cases, ScreenWrite would only share your name and email address.
If ScreenWrite is involved in a merger, acquisition, financing, or sale of all or part of its business or assets, Personal Data may be transferred as part of that transaction. ScreenWrite will provide reasonable notice to affected Users where required by law.
ScreenWrite may disclose Personal Data if we believe in good faith that such disclosure is reasonably necessary to:
ScreenWrite will only disclose Personal Data for these reasons to the extent permitted by applicable law, including the GDPR where relevant.
ScreenWrite retains Personal Data for as long as necessary to provide the Service to the Customer. Because ScreenWrite may not always know when a User or Customer has ceased using the Service, we encourage you to notify us if you wish to have your Personal Data deleted. ScreenWrite may also retain Personal Data for the period required by applicable law or regulatory requirements.
ScreenWrite may retain non-personal or anonymized information indefinitely for purposes of operating, maintaining, and improving the Service. Where Personal Data is anonymized, it will no longer be treated as Personal Data under this Policy.
ScreenWrite relies on third-party service providers to host, store, and process certain Personal Data. Although ScreenWrite does not control every aspect of these third parties’ data retention practices, ScreenWrite works with such providers to delete or modify Personal Data where required by applicable law, including the GDPR and the use of standard contractual clauses for international data transfers when applicable.
ScreenWrite uses reasonable administrative, technical, and organizational measures to safeguard Personal Data against loss, misuse, unauthorized access, alteration, and destruction. These measures include contractual confidentiality obligations for personnel, restricted access to Personal Data on a need-to-know basis, informal reviews of the privacy practices of tools integrated into the Service, and the use of SSL/TLS to encrypt data in transit. Personal Data stored in ScreenWrite systems is encrypted at rest.
ScreenWrite also relies on the security practices of its third-party hosting and processing providers. While ScreenWrite takes steps to protect Personal Data, no method of transmission or storage is completely secure. You acknowledge that loss, misuse, or alteration of data may occur despite ScreenWrite’s efforts, except to the extent prohibited by applicable law.
For purposes of this Section 7 only, the terms “personal information,” “collection,” “sell,” “business purpose,” and “commercial purpose” have the meanings given to them under the California Consumer Privacy Act of 2018 (“CCPA”).
If you reside in California, you may have certain rights under the CCPA. These rights are in addition to any other rights described in this Policy. If you have questions about these rights or how to exercise them, please contact us using the information provided below. For information about the categories of personal information we collect and how we use and disclose such information, please refer to Sections 3, 4, 5, and 6 of this Policy.
You may have the right to request that ScreenWrite disclose the personal information we collect, use, or disclose about you. Subject to certain limitations, you may also request that we delete your personal information. Requests may be submitted by contacting us at support@screenwrite.co with “California Request” in the subject line. ScreenWrite will not discriminate against you for exercising your rights under the CCPA.
California residents may also request, once per year, information regarding whether ScreenWrite has shared their personal information with third parties for direct marketing purposes. The CCPA provides California consumers with the right to opt out of the sale of their personal information. ScreenWrite does not sell personal information.
ScreenWrite may take reasonable steps to verify the identity of any individual submitting a request under this Section. You may also authorize an agent to submit a request on your behalf, and ScreenWrite may request proof of such authorization.
You may update certain Personal Data directly through the account settings available within the Service. If you wish to access, receive a copy of, correct, or delete the Personal Data ScreenWrite holds about you, you may contact us using the information provided at the end of this Policy.
You may withdraw your consent to ScreenWrite’s use of your Personal Data at any time by contacting us. Withdrawing consent does not affect the lawfulness of any processing that occurred before your withdrawal. If ScreenWrite relies on a legal basis other than consent, such as the performance of a contract, we may continue to process your Personal Data as long as that legal basis applies and you continue to use the Service.
You may also contact ScreenWrite to request that we do not disclose your Personal Data to third parties (other than service providers acting on our behalf) or that your Personal Data not be used for purposes that are materially different from those originally disclosed in this Policy or subsequently authorized by you.
ScreenWrite will use reasonable efforts to implement your requests in accordance with applicable law, including GDPR, the CCPA (if applicable), and other relevant regulations.
If you are not satisfied with how ScreenWrite addresses a concern regarding your Personal Data, you may contact your local data protection authority.
The Service may be hosted and operated in the United States or other countries outside of your place of residence. If you access or use the Service from the European Economic Area (“EEA”), the United Kingdom, Switzerland, or any region with data protection laws that differ from those in the United States, please be aware that your Personal Data may be transferred to, stored in, and processed in the United States or other jurisdictions. By providing Personal Data to the Service, you consent to such transfers and processing.
Personal Data collected in the EEA may be transferred to ScreenWrite or to third parties acting on our behalf in countries whose data protection laws may differ from those of your country. When we transfer Personal Data out of the EEA, we seek to ensure an adequate level of protection by relying on appropriate safeguards, such as entering into standard contractual clauses with relevant third parties.
As described elsewhere in this Policy, ScreenWrite may share Personal Data with third-party service providers, and Personal Data may be disclosed in response to lawful requests by public authorities, including those made to satisfy national security or law enforcement requirements.
From time to time, ScreenWrite may receive lawful requests from government authorities seeking access to information held in connection with the Service. ScreenWrite values the privacy of Users and Customers and will only disclose Personal Data in response to such requests when required to do so by applicable law.
The Service relies on various third-party providers to operate effectively, including hosting services, infrastructure providers, analytics tools, communication services, and other vendors. As described in this Policy, ScreenWrite may share Personal Data with such third parties to support the functionality of the Service. ScreenWrite does not control the data handling or privacy practices of these third parties beyond the contractual and legal requirements applicable to them. We encourage you to review the privacy practices of these third-party services to understand how they process Personal Data.
ScreenWrite may update this Privacy Policy from time to time. Any changes will become effective on the date indicated at the top of this Policy. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Policy. The most current version of this Policy will always be available through the Service.
